Studio PA

Description

Mr. X Inc. is looking for a highly motivated Studio PA.

Responsibilities:

• Provide reception/front desk coverage for breaks and lunch;
• Reception and front desk duties include: receiving & directing incoming phone calls, accepting & sending courier packages, ordering office supplies, photocopying and faxing;
• Assist Production department by providing data entry support to the visual effects shots databases and any other requests;
• Preparing for client meetings which include ordering and picking up food, carrying out occasional coffee runs;
• Travel Coordination including; booking flights, hotels, long stay accommodations, preparing travel itineraries, arranging taxis, and so on;
• Liaise with external vendors (e.g. building management, caters, etc.);
• Assist with Recruitment by maintaining online job postings and scheduling interviews;
• Hands-on construction (e.g. Hanging posters and art, changing light bulbs);
• Ordering food for artists and production staff;
• Unloading of clean dishes in the morning before Artists start the day and loading of dirty dishes throughout the day
• Fridge cleaning on a monthly basis;
• Stocking of kitchen supplies (e.g. milk, cream, sugars, tea, etc.);
• General kitchen cleaning (e.g. counter cleaning, microwave, toasters etc.);
• Other duties as assigned by the Operations Manager and Director.

Qualifications:

• 1+ year previous administrative experience required
• Professional and friendly phone manner
• Good time management skills, with the ability to multi-task and stay organized
• Ability to work effectively with regular to frequent interruptions
• Excellent verbal and written communication skills
• Ability to exhibit a strong sense of confidentiality, professionalism and discretion
• Ability to exercise sound independent judgment and to analyze and resolve problems
