Administrative Assistant (May 16 - May 26)

Monolith is seeking a temporary Administrative Assistant that provides full administrative & clerical support to Monolith Productions including the Studio Head, Finance, Human Resources and Information Technology departments.

Job Responsibilities

-Processing Employee Expense reports

-Reception desk coverage – Answering main phone line, directing calls, greeting visitors, collecting and scanning signed NDAs, preparing new hire paperwork and obtaining keycards for temporary employees

-Company T&E – Assists in arranging travel and hotels for conferences, conventions & business meetings for company and as a result, prepare expense reports which entails managing full process from submission to check distribution and works with T&E group directly to instill constant flow of communication

-Supply Ordering – Maintain and track the company’s supplies orders including office supply orders as well as food and beverage orders

-Facilities – Coordinate facilities requests, track issues and be the liaison between the property management and the company.  Stock and keep clean kitchens, copy rooms, conference rooms and all common areas.

-Receive and distribute incoming / outgoing mail and deliveries

-Responds to inquiries, orders supplies, and performs other related duties or projects as assigned.


JOB QUALIFICATION STANDARDS

Work Experience

Previous office management / administrative experience required

Previous industry experience a plus

Education, Professional Training, Technical Training or Certification

High School Diploma required

College Degree preferred

Knowledge/Skills

Proficiency with MS Word, PowerPoint, Excel & E-mail required and a must.

Must have knowledge of file set-up, maintenance, filing procedures, basic math, spelling, grammar, punctuation, English usage and report & letter formats.

Other Requirements

Must be able to work in a fast-paced, high energy department assisting multiple people.
