Scheduling Coordinator

Purpose of the job:

The Digital Studio Scheduling Coordinator works with the department Managers and Production teams in our Commercials and VR divisions to help coordinate the scheduling and resource allocation needs for all projects.  The Coordinator helps identify appropriate resources to accommodate production needs across all projects while maximizing the utilization of existing resources within the facility.

Essential Functions/Responsibilities:

  • Attends weekly staffing and scheduling meetings and assists in coordinating others to participate in the breakdown and staffing of VFX work
  • Works with department Managers to identify artists for upcoming work
  • Reviews all digital staff assignments, updates database, and communicates updates to Producers and Managers
  • Acts as backup to Managers to confirm end dates with Productions and communicate any changes to artists
  • Works with Managers to help resolve conflicts regarding artist scheduling and resource allocation
  • Generates scheduling reports for manager and project meetings
  • Knowledgeable on the skill sets of artists in assigned area; provides analysis of current and future needs and recommends strategies for the reconciliation of needs and available resources
  • Helps maintain interview calendar and coordinates with Recruiting to ensure artist feedback is returned in a timely manner
  • Assists in space planning and the onboarding of new artists working with both the Managers and other Facility personnel, as required
  • Provides backup to Managers for timecard approvals and vacation request processing

Qualifications:

Education and/or Experience Required:

  • Bachelor’s degree in film, art, communications or related field
  • 3+ years production experience
  • Experience with Commercial and visual effects or feature animation pipelines and production processes required

 Skills, Abilities, Special Licenses or Certificate: 

  • Comprehensive knowledge of Microsoft Office applications required; experience with production tracking software a plus
  • Excellent communication, interpersonal, and organizational skills
  • Ability to remain detail oriented while juggling multiple tasks in a high pressure environment
  • Demonstrated ability to resolve conflicts

Working Conditions and Environment/Physical Demands: 

  • Office working environment.
  • Hours for this position are based on normal working hours but will require extra hours pending production needs.
  • Walking/bending/sitting.
