Summary
The Assistant
to the VP of Production provides administrative support to a busy VP of
Production and must have knowledge and direct experience working in VFX show
production and execution. This is a highly visible role who can effectively
interact with individuals at all levels of the organization and creates an amazing
culture around them. They are comfortable working in a fast-paced,
results-driven environment with the ability to exercise good judgement in a
variety of situations. This individual
has strong written and verbal communication, administrative and organization
skills, and the ability to maintain a seamless workflow while balancing
multiple priorities.
Job Description
·
Anticipates
the needs of the VP of Production and relies on experience and judgment to plan
and accomplish production related tasks
·
Gate
keeper and organizer for all production related requests and email
correspondence
·
Coordinates
and manages all production emails globally, ensuring communication is properly
directed
·
Understands
the sphere of responsibilities of VFX Production Coordinators, VFX Producers,
and VFX Supervisors to ensure email correspondence is delegated effectively
·
Coordinates
daily priorities of the VP of Production and pro-actively tackles issues when
necessary
·
Ensures
action items emerge from email correspondence and meetings with the VP of
Production
·
Liaises
between all production facing departments and communicates time sensitive data
·
Manages
key aspects of the production atmosphere, maintaining a positive work
environment under pressure
·
Conducts
research on specialized projects
·
Demonstrates
ability to define, lead, and own project work
·
Pro-actively
volunteers and supports other executive staff as necessary
·
Learns
and understands the workings of the company on a broad level to assist the VP
of Production in all related activities.
Requirements
·
Must
have minimum 3 years experience working in VFX Production on show teams,
artistic, or in Production Management
·
Has
a can-do attitude and can work with many different personality types
effectively
·
Must
be cool headed and calm under pressure
·
Can
effectively evaluate and communicate priorities, knowing at what level to
involve the VP of Production and production staff
·
Experience
maintaining confidentiality on all sensitive matters and proven ability to exercise
discretion and sound judgement to handle sensitive information with tact and
professional integrity
·
Must
be able to perform work with a high level of accuracy, detail-oriented, ability
to handle multiple priorities, and be a self-starter
·
Demonstrated
high level technical problem solving and proficiency with software and systems
(Calendars, email, Microsoft Office - Word, Excel, Power Point, Libra Office,
etc.)
