Executive Administrative Assistant

Who are we hiring?
Under limited supervision, performs clerical, administrative, financial and secretarial support for the President Sphere, requiring a thorough knowledge of the department’s language, policies and practices. Assignments generally involve work of a complex nature that assists President Sphere in ensuring the efficient operation of department(s).

What will you do?

• Answers and screens the President’s telephone calls and provides back up for President’s reports’ assistants as needed. Handles complex inquiries, takes messages and transfers calls to the appropriate party, receives and directs visitors; sorts and distributes mail. Maintains departmental, HR, and legal files and keeps records.
• Schedules and maintains the President’s calendar of appointments, meetings and travel itineraries. Prepares any necessary information for meetings; prepares and distributes minutes of meetings. Compiles reports and processes documents of a complex and confidential nature. Prepares and proofreads correspondence, reports and other materials. May plan layout of reports and other materials. Uses various PC software packages such as Word, Excel, PowerPoint, etc.
• Acts as liaison between the President and his direct reports, as well as internal and external contacts. Responds to issues and tasks involving the administrative functions of the office that do not need to be brought to the attention of the President. Handles these situations in a timely and efficient manner.
• Coordinates all paperwork necessary for the President to approve. This includes, but not limited to, attendance sheets, travel and expense vouchers, personnel requisitions, performance appraisals, personnel action forms (PAF) and authorization payment forms (APF). Follows up with other departments to ensure that requests are carried out and activities are coordinated.
• Assists department in special projects as requested by the President including being available during events as needed.


What do you need to succeed?

• Associates Degree
• Proficient knowledge with Microsoft Office application including PowerPoint and Visio
• Strong oral and written communication skills, ability to interact with all levels of management
• Well organized and detail oriented
• Ability to work in a fast paced environment
• Ability to maintain highest degree of confidentiality and diplomacy
• Must be flexible to work overtime on short notice
• Bachelor degree preferred
