Who are we hiring?
The Senior Specialist – Creative will lead administrative, logistical, and production for all our studio tours and direct communication with our Studio guests including creative talent and potential business partners. This role includes follow-up communication, schedule management and concept ideation between talent and the Studio Development Department to produce potential Sphere Show pitches. This position will serve under Head of Creative to ensure our interactions with potential talent are handled at the highest levels, and that the communication is expertly managed. The Senior Specialist – Creative will act as the primary interface with MSG Sphere sales and partnership and other Studio experts as we develop content concepts. This position requires attention to detail, diligence, organization, communication, discretion, and an ability to stay calm under pressure.
What will you do?
Introduction of Potential Talent and Creatives
• Execute tour planning for potential talent and VIPs
• Coordinate tour logistics with Big Dome and Las Vegas MSG Teams
• Manage outreach to guests and their teams (assistants, agents, collaborators)
• Research and prepare biographies of VIP guests prior to all tours and meetings
• Manage all tour hospitality Prep – food, beverage, personal assistance
• Coordinate the physical tour challenges – testing demos, manage sound and picture playlists, staffing with correct department leads
• Host specific tours – emphasis celebrity & VIP guests with special attention needed
• Assist studio and travel teams to coordinate all attendee travel to/from studio
• Distribute travel itineraries, calendar invites, and tour agenda to attendees in advance of visit
Talent Support and Onboarding Coordination
• Coordinate communication with creatives, their reps and appropriate MSG staff
• Arrange next steps agreed upon by creatives and MSG – additional meetings and advanced tours if needed
• Provide access and general training to talents for MSG Creator Portal website when appropriate and approved
Project Development
• Lead relationship between Development/Creative and Partnership/Sales
• Assist in ideating concepts, artists and performers for Sphere Onboarding
• Coordinate internal and external demographics research &audience study data
• Provide coordination and logistical support for special events and projects under the direction of senior executives and project managers
• Oversee expense management: processing travel, entertainment, and business expense reports
• Assist Development Department with managing presentations & pitches made by creative producers to MSG executives
• Aid in planning, budgeting, scheduling of any materials, videos, sizzles, talent demonstrations
• Participate in rehearsals, note sessions and critical feedback in advance of pitch
What do you need to succeed?
• 2-3 years experience in the entertainment industry, with an emphasis on Public Relations or handling talent.
• Work history that includes professional, reliable, and responsible interaction with A-List celebrities, their management team and support staff
• Experience in tour planning and in-person tour guide work to multiple categories of guests: artistic talent, legal representation, outside business interests, VIP personal guests, etc
• Experience in entertainment industry budget / schedule analysis and written feedback
• Training in project and workflow management
• Able to work under pressure and meet deadlines while managing multiple tasks
• Strong administrative, organizational, and time management skills
• High level of commitment and demonstrated flexibility with the availability to work evening and weekends, when necessary
• Demonstrate integrity, tact, diplomacy, and a commitment to company values and principles while ensuring the upmost consistency
• Ability to work closely with various departments to create a hospitable work environment for employees and tour guests
• Excellent verbal and written communication, organizational, and time management skills
• Ability to work independently when necessary and use sound business judgment
• Passion for entertainment and for future technologies
• Proficient in Mac, Keynote, Microsoft Office
